The Sales Administrator of Hemp Operations and Customer Solutions will be responsible for managing all functions of admirative sales support including, but not limited to the tasks listed below.
We are looking for someone that has a proven skillset in operations and strong negotiation capabilities. CPG experience is mandatory. The candidate, must be able to work cross functionally with finance, sales, production, etc.
Essential Functions
Monitor and Manage Daily Sales & Operational Systems
SPS EDI Portal, Navision, MS365, 3PL Portal, Shopify, Banking Lockbox Portal
SPS EDI Management - Daily order flow, trigger EDI Invoicing upon confirmation receipt. Enter wholesale orders to align with SPS sales.
Navision Management - Enter new customer & pricing information, maintain pricing in Navision to mirror promotional calendar & activity for accurate invoicing.
3PL Portal Management (Verst Logistics) - Confirm order flow from Shopify & SPS, monitor daily fulfillment is on schedule and return of shipment confirmations.
Payment Management - Monitor receivables & aging reports, enter credit limits, monitor bad debt with accounting and take necessary actions. Manage payment receipts via both electronic to lockbox & hardcopy checks
E-Commerce Management - Export sales revenue from Shopify platform & import into Navision as required monthly. Monitor Shopify reporting and inventory levels are matching across systems
Primary administrative contact with Sales Brokerage
Ensure contractual payment schedule of broker is met and calculated accurately.
Monitor customer payments for any deductions and collaborate to resolve disputes.
Maintain and communicate promotional calendar and pricing communication.
Act as Curaleaf Hemp’s primary contact with accounting
Communicate to VP of CBD & Wellness any concerns raised that effect budget or sales revenue.
Support accounting as required with system work detailed above. Emphasis placed on time sensitive month and quarter end activities.
Sales Support
Act as primary liaison with frontline sales team for all order management support and customer (i.e., new account setup, sampling invoicing, spec sheet management, etc.)
Collaborate with management to ensure timely and accurate payment of commissions & bonuses per employment agreements.
Monitor budgets for all sales related activities including travel, trade spend, etc.
Maintain a calendar of significant activities including team member availability, key sales meetings, travel & vacations
Monitor & maintain inventory of dealer loaders (t-shirts, sales literature, etc.)
Operational Support
Work with Sr Mgr. Hemp Operations to monitor 3PL inventory levels against forecast and new product launch timelines.
Monitor daily Shopify activity and reporting portal with an emphasis on B2B sales.
Communicate new customer of note and associated onboarding timeline and activities
Minimum Requirements:
Location: Ability to commute daily to NYC office at 420 Lexington Ave, Manhattan
Bachelor's degree
History of setting and driving strategic initiatives
Experience with EDI preferred
Experience working with 3PL(s) preferred
Sales experience preferred
Experience with distributor management preferred
E-commerce management experience preferred
Ability for travel, 20%
Current and valid driver’s license with a clean driving record
Subject to background check per state cannabis regulations
