Responsible for leading lab products vault inventory operations and co-coordinating order fulfillment cycles with a continuous focus on compliance, safety accountability, product integrity, team productivity and cost. Lead fulfillment and inventory support team through effective startup, hour-by-hour, and shutdown operations to include sales order review and revision, picking operations, label creation and auditing, inventory management, product intake to vault and delivery to fulfillment labeling team, accurate and effective physical inventory of all product to include recordkeeping and compliant storage. Also responsible for partnering with peripheral teams (Packaging, Fulfillment, Flower Products Vault) to meet planned team objectives.
Essential Duties and Responsibilities
Lead and understand all lab product packaging inventory operations remaining proficient at all hourly fulfillment and inventory job functions and associated software programs.
Able to communicate changes and updates clearly to the internal team, and external stakeholders, such as sales and marketing.
Able to delegate tasks effectively and follow-up to ensure objectives are met.
Maintain integrity of information systems utilized to track products that exist in the vault space (MJ Freeway, Leaf Trade, SharePoint, Excel, ERP systems, etc.).
Support and maintain proficiency with inventory tracking and recordkeeping functions with the state seed-to-sale e-system MJ Freeway remaining in compliance with the Department of Health’s rules and regulations.
Proficiency with Microsoft Office and Excel preferred.
Maintain 5S and sanitation standards (safety, organization, cleanliness, and compliance) throughout the vault spaces.
Ensure daily/weekly/monthly 5S and Sanitation Schedules are completed properly and on time. Serve as a champion for sanitation and bio-security.
Perform unit count conversions, combinations, and adjustments to meet order fulfillment requirements and organizational/storage needs.
Label finished product as needed.
Receive and intake dispensary returns, third party items, vault consumables, etc. and maintain visual organization.
Assist in destruction and tracking of dispensary returns.
Utilize communication tools (walkie-talkies, email, phone, company portals) to promote an effective interdepartmental workflow.
Support third-party lab testing operations.
Format, prepare and print compliant labels for finished goods and case lots.
Support the generation of manifests for deliveries and generate manifests in the Lead Logistics Coordinator’s absence.
Support the generation of sales orders for wholesale deliveries.
As needed, compile test results corresponding with product allocated for wholesale deliveries and send to each client.
Transfer material to production teams based on the production schedule.
Maintaining Waste Logs for flower operations and compliance.
Delegate tasks and balance labor assignments across all inventory and/or order fulfillment requirements.
Communicate planned vs. actual results and set the pace for the team.
Ensure product integrity; making sure product quality is maintained while being handled, picked and stored.
Support the testing, measurement and diagnostic equipment program and ensure that only serviceable, calibrated scales are in use at all times.
Monitor the vault and fulfillment environments to ensure optimal product storage conditions.
Maintain security protocols within vault spaces and observe authorized personnel only access.
Using core metrics and key performance indicator data, achieve department quantity, quality, and productivity objectives.
Conduct performance gap analysis and identify obstacles to success (forms of waste, variation, etc.).
Create, and maintain necessary production data files, records, and reports such as the Daily Hour-by-Hour Tracker, fulfillment schedules, and product inventory.
Ensure that all product and orders are compliant to include packaging and required batch and content labeling.
Able to identify, troubleshoot, correct, and communicate common inaccuracies.
Possess strong basic mathematical ability.
Follow standard operating procedures (SOP) for all operations, ensuring adherence to company and regulatory compliance (proper weighing, data recording, product tracking, security, green waste disposal, etc.
Train and coach team members in accordance with SOP, work instructions, process controls, etc.
Serve as a proponent for critical continuous improvement and occupational safety initiatives such as the 5S program and Hazard Communication.

Additional duties as assigned, including assisting with leadership in the alternate vault and within the fulfillment team.

6 months relevant experience in a marijuana setting preferred with a concentration on order fulfillment and/or inventory management preferred.
High School Diploma or G.E.D. minimum.
Must be 18 + years of age

Basic mechanical aptitude to operate, maintain and troubleshoot computing and label printing equipment.
Ability to sit or stand (on concrete floors) and perform repetitive tasks for long periods of time.
Able to perform standing, bending and lifting to 50 pounds, carrying product totes, pulling/pushing carts, etc.
Able to use hands, wrists, and forearms repetitively and with dexterity in job duties, to include picking and applying labels to product.
Able to wear required personal protective equipment for up to 10 hours per day.
Able to work in an environment that processes cannabis plants including dried plant material, pollen, allergens, and dust.
Able to climb staircases (ascending/descending) and utilize a step ladder in the performance of operator-level equipment maintenance and sanitation.
Understand basic weight and measurement concepts and able to operate various scales and meters.
